Notiva is built around a simple idea: your notes and your meetings are yours. This policy explains what the Notiva website collects today, and how the Notiva Mac app is designed to handle your data once it ships.

Part 1 — The website (trynotiva.com)

What we collect

If you join the beta list, we collect the name and email address you type into the signup form. That’s it. We don’t use cookies, we don’t run analytics or advertising trackers, and we don’t build a profile of you. There are no accounts to create.

Why we collect it

We use your name and email for one purpose: to email you when new Notiva builds ship, plus the occasional release note. You gave it to us for that, and we won’t repurpose it. Where the law requires a basis for processing (for example, the GDPR), that basis is your consent.

Who processes it

Running the site means two service providers touch your submission:

We do not sell or rent your information, and we don’t share it with anyone beyond the providers above who help us operate the list.

How long we keep it

We keep your details until you ask us to remove you, or until the beta program ends and we no longer need the list — whichever comes first.

Your choices

You can ask us to show you what we hold, correct it, or delete it at any time — just email Notiva and we’ll take care of it. Depending on where you live (for example, the EU/UK under the GDPR, or California under the CCPA/CPRA), you may have additional rights to access, port, or object to processing; we honor those requests too.

Security

The site is served over HTTPS, so your submission is encrypted in transit. The signup function includes basic anti-abuse measures (a honeypot field and rate limiting). No method of transmission or storage is ever perfectly secure, but we keep what we collect deliberately small.

Part 2 — The Notiva app

The Notiva Mac app is not yet publicly available. This section describes how the app is designed to handle your data; we’ll finalize it before the app is released.

On-device by design

Notiva is designed to run on your Mac and keep your data there. Recording and transcription are designed to happen locally on your device, using Apple’s on-device speech and Neural Engine. Your typed notes and recordings are designed to be stored locally on your Mac. The app is designed to work without a Notiva account, and Notiva does not operate servers that receive your notes or audio.

The one exception: AI writeups. Notiva can turn your notes and transcript into an AI-generated writeup. This feature is optional, and it uses your own API key from a third-party AI provider (such as Anthropic or OpenAI), stored in your macOS Keychain. When you trigger a writeup, the relevant note and transcript text is sent from your Mac to that provider so it can generate the result. At that moment, that text is handled by the AI provider under your account and their terms — not by Notiva. This is the only case where your content leaves your Mac, and it only happens when you choose to use the feature.

Analytics and telemetry

Notiva is designed not to include third-party analytics, advertising, or usage-tracking telemetry.

Children

Notiva isn’t directed at children, and we don’t knowingly collect information from anyone under 16. If you believe a child has given us their details, email the Notiva team and we’ll delete it.

International visitors

We operate from the State of California, USA, and our providers (Cloudflare and Discord) may process data in the United States and other countries. By using the site, you understand your information may be processed in those locations.

Changes to this policy

If we change this policy, we’ll update the date at the top of this page. For anything significant, we’ll do our best to let the beta list know.
